EIN Letter and Tax ID is issued to the business entity as proof of assignment of the Tax ID number. The initial letter is also known as Form CP 575 G.
EIN Letter contains the basic necessary information about the entity, full legal name, address, Tax ID Number and filing status.
When doing business overseas this letter becomes crucial part of foreign business operations. EIN letter is required by foreign authorities with apostille and authentication or with embassy attestation. EIN Confirmation Letter will be needed for opening bank accounts, operating within foreign country as well as registering with the foreign tax authorities.
HOW TO GET EIN LETTER APOSTILLE AUTHENTICATED?
There are a few ways which are acceptable for EIN Letter Apostille and Authentication processing.
(1) Get a replacement letter with the signature of the Operations Manager, Accounts Operations. To do so, an authorized officer needs to call IRS Business & Specialty Tax Line. State that you have lost or misplaced Form CP 575 G and that you need them to send you a letter with your Tax ID number. The form is called LTR 147C. This letter can be emailed or faxed. If EIN Letter will have signature of Operations Manager, Accounts Operations it can be apostilled directly.
(2) Notarize a copy. For many countries a notarized copy of the EIN Letter with apostille authentication certificate is acceptable. To notarize a copy you should follow your state notary guidelines or contact DOXNOW for assistance.
(3) Substitute with Form 6166. Many countries will accept Apostille IRS Form 6166 as an substitute for Apostille EIN Letter. US Residency Certificate, Form 6166, will contain same basic information as EIN Confirmation Letter: Name, Tax ID Number and Filing information.
WHAT IF APOSTILLE IS NOT ACCEPTED?
In cases when the EIN Confirmation Letters are being prepared for countries which are not part of Apostille Convention, a special authentication process must be followed. This is known as Embassy Attestation. To get documents authenticated, they will have to go through the Office of Secretary of State, Authentications office at US Department of State and lastly stamped by the Consular Section of the target Embassy or Consulate.
